About the job

Administrative Support:

  • Manage the calendars of the management team, including scheduling appointments, meetings, and travel arrangements.
  • Prepare, edit, and distribute reports, presentations, and other documents as required.
  • Handle routine correspondence, including emails and phone calls, and direct inquiries to the appropriate team members.

Meeting Coordination and Note-Taking:

  • Organize and coordinate meetings, including preparing agendas and following up on action items.
  • Take detailed and accurate meeting minutes to ensure all discussions and decisions are well-documented.
  • Distribute meeting notes promptly to relevant stakeholders and maintain records for future reference.
  • Track action items and ensure they are completed by the responsible parties.

Communication and Coordination:

  • Act as a liaison between the management team and other departments, clients, and external partners.
  • Coordinate travel arrangements and itineraries for the management team.
  • Assist in preparing and distributing internal communications and announcements from the CEO.
  • Support scheduling calendar invitations for the product development process.
  • Support organizing and setting up the collection presentation.

Education:
  • WO or HBO degree in Business Administration, Office Management, or a related field.
  • Any post-graduation certificates in the Administration field are a plus.

Experience:

  • At least 3 years of experience in a similar role, either in a larger corporate organization or a small/medium-sized business.
  • Experience in a dynamic and fast-paced work environment is a plus.
  • Fluency in written and oral English is a must.
  • Fluency in Dutch is advantageous but not required.

Key Competencies:

  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and as part of a team.
  • High level of accuracy and attention to detail, especially in notetaking and documentation.
  • Customer-oriented.
